Production Assistant – NYC

Supporting the Production, Editorial, and occasionally the Creative Content team to successfully execute audio-visual and social projects, as well as complex shoots, from initial research and strategy through development and delivery.

As a Production Assistant, you will learn key practical skills to support Production and Editorial and gain essential exposure to how each department contributes to the success and growth of Intermission’s work. You will be passionate about Film & Entertainment and thrive working in a fast-paced, ever-changing environment.

KEY TASKS AND ACCOUNTABILITIES​
  • Supporting the production team with any necessary tasks within a project.
  • Supporting on client comms where appropriate.
  • Working directly with the Editor and Edit assists supported by senior members of the production team.
  • Music supervision assistance – music searching for commercial and library music, liaising with music supervisors, record labels and publishers.
  • Project research – consolidating project background information, sourcing reviews, writing script synopsis, and pulling comparable examples.
  • Presentations – creating pitch docs and treatments, accurately formatting documents for presentations.
  • Copywriting and script creation.
  • Ensuring all materials are of a high standard – checking all final deliverables, presented cuts and other necessary exports are correct.
  • Creating and maintaining tracking slates and festival deal logs.
  • Sourcing voice-over artists, formatting voiceover scripts, booking voiceover sessions.
  • Drafting production paperwork including archive clearance documents, cue sheets, CCSLs, subtitle files etc.
  • Logging data and footage – consolidating timesheets and making sure job sheets and editor lists are up to date, and client footage reports are accurate.
  • Coordinating the ingest and upload of media to viewable platforms for the client.
  • Coordinating the ingest and project set-up of AV material into Nexis.
  • Managing media sharing platforms – monitoring usage and creating presentation links.
  • Sourcing additional material needed for projects including stock footage or media.
  • Supporting the online & finishing process; liaising with mixers and the online schedule to ensure timely and accurate delivery.
  • Providing office management support, including answering calls and client hospitality if applicable.
EXPERIENCE AND REQUIREMENTS​
  • Proven experience working in an administrative or runner role in a busy and fast-paced creative environment.
  • Keen interest in film, and enthusiasm and willingness to learn.
  • Great interpersonal and communication skills.
  • Ability to work well as part of a team and create strong working relationships.
  • Great organizational skills, along with a strong focus on accuracy and attention to detail.
  • Self-motivated and diligent.
  • Excellent time management with the ability to manage several projects simultaneously and keep a level head under pressure in a reactive environment with quick turnaround times.
  • Strong working knowledge of Microsoft Office software (Excel, Word, Powerpoint) as well as Google Programs (G-Sheet, G-Docs, Slides)
  • Discreet and tactful with an understanding of the need to maintain confidentiality and data protection good practice.
  • A calm and professional manner.
  • A proactive, flexible, and adaptable approach.
  • Familiarity with Avid and Adobe programs is preferred.
